This checklist is your personal guide to essential onboarding tasks. Check off each item as you complete it. Items marked ★ are DGE-specific; all others are university-wide requirements. `
Before you start:
- ☐ ★ Complete DGE New Hire Questionnaire
- ☐ Review HR New Employees: Get Started
- ☐ Complete HR New Employee Onboarding Checklist
- ☐ Note your start date, time, location, and who to meet
- ☐ Review your transportation options; purchase parking permit, register bicycle, or redeem Umo (free bus pass for faculty and staff)
- ☐ Upload a recent photo for your Flock Card (UO ID)
First Day
Paperwork and Access
- ☐ Meet with Provost's Administrative Services Team (PAST) to complete UO hiring paperwork. PAST will contact you to schedule this meeting. The office is located at 1715 Franklin Blvd. Bring Form I-9 and work eligibility documents (list of eligible documents on last page of Form I-9).
- ☐ ★ Meet with DGE office manager for general office orientation
- ☐ ★ Meet with your supervisor for unit-specific onboarding and training
- ☐ Meet with Information Services to set up your computer and access to required systems (see Systems Access information below)
- ☐ Get your Flock Card (UO ID) at the Card Office in the EMU — bring photo ID and your 95#
- ☐ Pick up keys / get card access
- ★ Complete Emergency Contact Form and give to Erin Cling, Front Desk Manager
Orientation and Setup
- ☐ Meet your orientation buddy
- ☐ Tour your workspace, department, and key campus locations with your supervisor or orientation buddy
- ☐ Meet with IT to confirm access to UO email, shared drives, department-specific systems, copier/printer codes
Systems Access
Information Services will set you up with a full suite of applications and required systems.
UO Systems Access
- ☐ Microsoft Office 360 (IT will set you up with the full suite of applications including:
- Microsoft 365 Copilot
- Microsoft Outlook (DGE primarily uses Outlook for email communication)
- Microsoft Excel
- Microsoft OneNote
- Microsoft PowerPoint
- Microsoft Word
- Microsoft Teams (DGE primarily uses Teams for unit and division-wide chat and communications)
- Microsoft OneDrive
- Microsoft Sharepoint (DGE primarily uses Sharepoint for unit and division-wide work management)
- ☐ Banner (log in with Duck ID; depending on your role, your supervisor will need to request Banner access to specific Banner screens)
- ☐ Duckweb (log in with 95# and PAC; depending on your role, your supervisor will need to request Duckweb faculty access)

- ☐ Smartsheet (DGE uses Smartsheet for work management in all units)

Employment Basics
- ☐ Review your position description and discuss expectations with your supervisor
- ☐ Discuss working hours, breaks, and time reporting
- ☐ Sign up for direct deposit authorization in myUO (your university portal). Manual checks will be issued if Direct Deposit if not set up.
- ☐ Make sure your mailing address is updated in myUO
- ☐ Review pay schedule, time reporting, direct deposit, and paperless paystub options
- ☐ UKG Ready* is your time entry and leave management system. Your supervisor will train you on how to fill out and submit your monthly timesheet.
- ☐ Discuss time off policies with your supervisor including sick leave, vacation, and personal leave.
First Week
- ☐ Register for HR New Employee Orientation
- ☐ Register for HR Employee Benefits Overview — do not wait; you have 30 days from hire date to enroll in benefits
- ☐ ★ Review DGE Employee Manual
- ☐ Explore campus with UO Maps
- ☐ ★ Hold your first 1:1 meeting with your supervisor to discuss first-month priorities and communication expectations
- ☐ ★ Begin unit-specific system training (e.g., Terra Dotta, SEVIS, Smartsheet — as directed by your supervisor)
- ☐ ★ Meet key DGE contacts as scheduled by your supervisor
- ☐ Set up your UO email signature
- ☐ Sign up for UO Alerts
First Month
- ☐ Attend New Employee Orientation — if not yet completed
- ☐ Complete benefits enrollment within 30 days of hire date
- ☐ Complete Mandatory Workplace Harassment & Discrimination Prevention training (deadline: within 3 months of hire)
- ☐ ★ Begin any unit-specific compliance training (SEVIS, FERPA, risk management — as applicable to your role)
- ☐ Familiarize yourself with all the UO faculty and staff resources
- ☐ Schedule your professional head shot session
First Three Months
- ☐ ★ Participate in cross-unit introductions (meet colleagues across GEO, ISSS, GSI, Central Admin)
- ☐ ★ Meet campus partners relevant to your role (Admissions, Registrar, Student Affairs, Equity & Inclusion, etc.)
- ☐ ★ Complete your quarterly review with your supervisor
- ☐ ★ Discuss professional development interests and begin a development plan
- ☐ Review your collective bargaining agreement or applicable employment policies
